Small Omaha Architectural Firm Saves Big with ARC's Managed Print Services

Old habits die hard. Just ask the team at Holland Basham Architects (HBA), a 35-person firm in Omaha, Nebraska.

For as long as they can remember, they have been playing by the traditional services rules when it came to printing and copying. Every three to five years, HBA would dip into its equipment budget to purchase new copiers as well as new printers for its small jobs. Meanwhile, ARC Document Solutions continued to handle its more extensive printing projects.

These new machines aren’t cheap. We’re talking $50,000 to $60,000 each. What’s more, there’s the pesky matter of ongoing repair costs.

“In 2012, there was a very large incentive to go the new equipment route,” says Tim Holland, HBA’s Founding Principal. “It was a federal tax break that was too good to pass up.”

While saving money with a tax break is certainly tempting, there is actually another way to save serious money: not buying new equipment.

ARC’s Managed Print Services (MPS) program and AbacusPCRTM, a print cost recovery solution, combine to provide companies with brand new equipment at zero capital cost and an in-depth way to track all reimbursable costs.

“What ARC was offering definitely sounded very appealing, especially in the reimbursable costs department,” says HBA Partner Steve Kuzelka.

So, naturally, HBA jumped at the chance to do it, right?

Not exactly.

“They kept thinking that there was a catch,” recalls Angela Harvat, ARC’s MPS specialist. “We had to convince them that what we were offering was more than just boxes of paper and toner.”

And clearly it’s more than just boxes of supplies that’s being offered. Once a customer signs on to the MPS program, they not only receive the new equipment at zero capital cost, but they also only pay for usage. ARC pays for everything else, from toner to paper to maintenance. That translates to lower costs. In the case of HBA, the company is saving $3500 each month.

As for the Abacus print cost recovery solution, which can track who printed what from what machine and for which client, it’s bringing in reimbursements the likes of which HBA has never seen before.

“With the money we’re saving, we’re able to purchase workstations and other non- printing/copying equipment,” adds a most appreciative Kuzelka.

Old habits may die hard, but reaping the benefits of new habits is apparently very easy for HBA to do.
