THE MISSING LINK: How Exxel Pacific Reduced Construction Document Errors

For 25 years, Exxel Pacific, Inc., a general contractor headquartered in Bellingham, Washington has been the guiding force on innumerable building projects. The firm has worked on everything from mixed-use, commercial, and retail to hospitality, medical, and residential.

Ensuring that those projects stay on track is the domain of Matt Stodola, the company’s Field Operations Manager, who also oversees and develops programs to assist with quality control.

“We pride ourselves on delivering the high quality projects our clients expect, on time and on budget,” said Stodola. “The only way to do that is to have the very best partners, tools, and people that we can possibly get.”

Of course, even with a talented team, issues will inevitably arise. On a large construction site, there are massive amounts of data that can get lost or not get to reach people when they need it, costing precious time and money.

A stickler for excellence, and committed to continual improvement, Exxel Pacific was searching hard for a solution.

The Missing Link

The solution came from Norma O’Malley, Account Manager at ARC Document Solutions in Seattle, which has been providing printing services to Exxel Pacific for years. She suggested a more efficient method of accessing documents online that would put everyone on the jobsite on the same page. The method is known as hyperlinking, which connects every single project document to a digital table of contents for lightning fast referencing.

While the benefits of hyperlinking were clear, Exxel Pacific wondered if the service would work for their construction specific workflow.

“Truthfully, I was a little skeptical,” recounted Stodola. “I felt strongly that you needed to be a professional in construction to really understand how to make hyperlinking work in the optimum way where it would be a valuable tool for all those involved.”

ARC’s extensive experience in the architecture, engineering, and construction industries gave them a leg up and Stodola agreed to meet with O’Malley.

“To show Matt what we could do, I offered to hyperlink one of their projects at no charge,” said O’Malley. “We did and he liked it but it wasn’t exactly what he was looking for, so I said, ‘Let me have Steve McDuffee, our Digital Services Manager, come in and talk to you.’”

Ask and You Shall Receive

Soon after, McDuffee met with Stodola, who explained that he needed the system to incorporate Exxel Pacific’s customized standards for hyperlinking. ARC came back with the requested changes implemented. This time, the results were noticeably different.

“ARC did a fantastic job of taking a look at what we expected, and then delivering on it,” said a very pleased Stodola.

The entire Exxel Pacific team was very pleased as well — and continues to be. One of the many upsides is the timely delivery of updated information to subcontractors, resulting in a 30 to 40 percent decrease in changed work scopes having to be redone.

“In a nutshell, the benefits from ARC’s solutions and services are too numerous to list,” added Stodola. “The bottom line is that hyperlinking connects all of the documents that have been so difficult to manage in the past, leading to a much more organized, consistent, and real-time process.”
