True Managed Print Services

In A Vertical Look: MPS by Industry, published by The Photizo Group, a research and consulting firm, Ted Buscaglia defines true Managed Print Services (MPS) as an integrated service that offers on-site, off-site, and virtual document management.

The following case study taken from the Photizo paper illustrates in detail what Buscaglia means by true MPS and how ARC saved the company more than $10 million in print-related costs.

One of the largest engineering firms in the United States, with over 10,000 employees and 100 offices throughout four countries is an MPS client with ARC. Having 10,000 employees across 100 offices is going to create a few IT challenges here and there, but nobody realized how unregulated printing could quickly spin out of control.

When it came to imaging, the firm found their biggest problem was the massive amount of color output they were producing.With no print rules in place and a lack of control over the output color and duplex options, the cost of printing sky rocketed.

The marketing department faced the most trouble with color printing, specifically the speed of the printer and the quality of the output. The department was using a high-speed production graphic printer, but they lacked the skills to properly operate the printer, and honestly, they did not need such an advanced device.

ARC approached the situation with an in-depth analysis of the current imaging environment. The assessment revealed the organization had many underutilized copiers and nonexistent and inefficient single-function devices. Their old model for paper, toner, hardware, and maintenance cost an average of $20 million a year.

The firm was not immediately sold on the MPS concept and was unsure it would meet their needs. ARC was given half the fleet to demonstrate they could reduce expenses and increase efficiency and general output capabilities. The pilot took approximately four months to complete; all copiers and wide-format devices (called plotters in the AEC industry) were replaced with multifunction printers. All users were also tracked with specialized cost-recovery software, which tracks each user’s print usage and then enables the print costs to be assigned to each print and output type, ensuring maximum reimbursement from their clients.

The pilot was a success and within a year ARC had consolidated the rest of the fleet and optimized the remainder of the fleet.

Today, the firm has seen a 50 percent reduction in total print output, resulting in $10 million in savings. They were able to reduce the number of devices in the organization to 1,200 from 1,650 and 100 percent of the print output is now managed through ARC.
