Architectural Firm Finds ARC’s Managed Print Services Fits Perfectly with Their Plans

Since 1979, P+R Architects has taken the lead on projects across a very broad spectrum, everything from shopping malls and mixed-use developments to entertainment complexes and hotels.

Staffed by licensed architects and master planners, as well as urban, interior, and landscape designers, the Long Beach, California-based firm is able to handle a client’s every architectural need.

There’s only one thing P+R doesn’t handle: printing. They leave that to ARC Document Solutions, their partner of more than 20 years. And the reason is pretty simple.

“With ARC, we don’t have to spend our time thinking about printing,” explained COO Brad Williams, who began his tenure with P+R 17 years ago as a designer. “They do that thinking for us.”

This was true when P+R was using ARC solely for the printing of massive documents, such as 300-page bid sets. But ever since they signed on to ARC’s Managed Print Services (MPS) program, ARC has been doing more thinking than ever about P+R’s printing needs.

Well-Designed Savings

In the past, P+R did what most architectural firms do—they leased their own printers, plotters, and copiers. Add in all the extras, like maintenance and repairs, and the expense tilts toward the exorbitant side of the accounts payable ledger.

ARC’s MPS is a decidedly financially-friendly alternative. For P+R, it all started by replacing the old equipment with brand new machines at zero capital cost. From there, ARC ran the show, handling everything from troubleshooting to replacing toner, all for one monthly fee based on square footage.

Once the problem of huge printing costs was solved, P+R discovered they had another print-related issue. Because they were doing a lot of printing for a lot of different clients, they were having trouble keeping track of reimbursable costs. Luckily for them, ARC had another ace idea up their sleeve: Abacus PCR.

AbacusPCR is ARC’s print cost recovery solution, and it can track what’s printed on a specific machine and for which client. Once it was up and running, AbacusPCR allowed P+R to bill back clients for the exact amount.

Carefully Crafted Service

Many companies are drawn to ARC because its MPS not only helps cut back on costs but also on headaches and aggravation. For example, you’ll never have to worry about staff issues, like someone calling in sick, gumming up the works.

“If there’s a problem, ARC is on it,” said Williams. “And you can count on them responding in minutes, not hours.”

P+R investigated whether or not there were better alternatives than continuing to lease their own equipment, but in every instance, these alternatives could not achieve the desired result while remaining cost effective.

“It never made sense to switch,” confirmed Williams. “ARC has the most competitive pricing and the most consistent, reliable service.”

And when you’ve got a partner that does it all, it makes perfect sense to be all in.
